JAI (“we”, “our”, “us”) is an invite-only, business-focused productivity platform designed for organizations and their authorized users. This Privacy Policy explains how we collect, use, store, and protect information when you use JAI across our mobile, desktop, and web applications.
JAI is intended for business and professional use only.
Access to the platform is restricted to invited users, and there is no public consumer sign-up or open discovery flow.
JAI is not designed for passive surveillance, background monitoring, or covert data collection. All sensitive features, including microphone and camera access, are explicitly user-initiated and user-controlled.
We may collect the following categories of information, depending on how you use the platform:
a. Account & Usage Information
• Name, email address, and account identifiers
• Organization and workspace information
• Application usage data and feature interactions
• Device, browser, and platform information
b. Calendar & Integration Data
• Calendar event metadata (such as titles, times, and participants)
• Integration data from connected services (e.g., Google, Microsoft, Apple Calendar)
• Access is provided only after explicit user authorization
c. Communication Data (Email)
• Email content and metadata from connected email accounts
• Access occurs only after explicit OAuth authorization by the user
• Used solely for summarization, CRM context, and productivity workflows
• Email data is not used to train AI models
d. Audio & Media Data
Audio or image data is collected only when you actively use features that require it, as described below.
JAI uses microphone access only for the following user-initiated features:
A. Meeting Recording
• Recording starts only when the user explicitly taps “Start Recording”
• Recording may continue while the app is in the background or the screen is locked
• A persistent system-level indicator and in-app indicator are shown while recording
• Recording does not start automatically based on calendar events
• JAI does not record phone calls, VoIP calls, or conversations without user action
B. Voice Assistant (Voice Mode)
• Voice Mode is enabled only via an explicit user toggle
• While Voice Mode is enabled, the assistant listens continuously to support real-time voice interaction
• Listening may continue when the screen is locked to allow hands-free use
• Listening stops immediately when:
• Voice Mode is turned off, or
• The app is force-closed
• JAI does not use hotwords or passive wake-word detection
• JAI does not listen when Voice Mode is disabled
JAI may use system wake locks only while Meeting Recording or Voice Mode is actively enabled, in order to prevent the device from sleeping during user-initiated interactions.
Wake locks are:
• Enabled only during active use of these features
• Released immediately when recording or Voice Mode ends
• Not used for background monitoring or passive data collection
JAI may access the device camera only when explicitly initiated by the user, such as for scanning business cards to quickly add contacts to the CRM.
• Camera access is user-initiated
• No background camera usage occurs
• Images are used solely to extract contact information requested by the user
Mobile & Desktop Applications
• Audio may be stored temporarily on the device only while recording is in progress
• Upon completion, audio is uploaded securely to JAI servers for processing
• Local audio files are deleted after successful upload
Web Application
• Audio is uploaded directly to JAI servers
• No local audio file storage is performed
Audio is used solely to:
• Generate transcripts
• Produce meeting summaries, analysis, and action items
• Support user-initiated retries or re-processing
To provide transcription and AI-assisted features, JAI uses third-party AI service providers (currently ElevenLabs) as data processors.
• Full audio may be shared only for transcription and processing purposes
• Audio and content data is not used for advertising, profiling, or resale
• Data is processed under contractual and security safeguards
• Processing may be performed by third-party providers or by JAI’s own systems, depending on feature availability
• Audio recordings and derived data (transcripts, summaries, analysis) are retained while the associated meeting record exists
• Retention supports retry processing and user-initiated regeneration
• When a user deletes a meeting, all associated data — including audio recordings — is deleted
• Users remain in control of their data at all times
Account Deletion
Users may request deletion of their JAI account at any time. Account deletion can be requested by contacting us using the details provided below. Upon account deletion, personal account information and associated content are deleted in accordance with this Privacy Policy, subject to any required retention for operational or legal purposes.
Users can:
• Enable or disable Voice Mode at any time
• Start or stop meeting recordings manually
• Delete meetings, which removes associated audio and derived data
• Revoke microphone, camera, or integration permissions at the operating system or service level
JAI provides clear in-app indicators whenever microphone access is active.
We use industry-standard security measures to protect user data, including:
• Encryption in transit (HTTPS/TLS)
• Encryption at rest
• Restricted internal access to sensitive data, limited to automated systems
We may update this Privacy Policy from time to time. Any changes will be reflected by updating the “Last Updated” date at the top of this page.
